Submitting data for archiving

Once data are ready to be submitted for archiving via Relu-DSS, follow the step-by-step procedures for data depositing (ESDS procedures).

In the first instance, datasets are offered for archiving by submitting a dataset review form. On this form briefly describe the datasets that have been created, with accompanying information and samples. This allows review of the datasets by the UK Data Archive Acquisitions Review Committee and Relu-DSS before the actual depositing of data.

Datasets are assessed for their standards and format of data and documentation, their potential long-term re-use value for research and education and to ensure no ethical or legal issues would prevent sharing. Where necessary, feedback on legal issues, ethical issues, data formats, quality issues, etc. will be given. All information and data samples submitted for evaluation are treated in strict confidence (and data samples submitted will be destroyed afterwards). At this stage Relu-DSS can help with specific advice on which data may need to be anonymised.

If datasets are accepted for archiving, they are formally deposited by completing the data collection deposit form and submitting it electronically. All data and documentation are prepared and sent by email or posted on CD-Rom for large files. Particular attention should be paid to preferred formats for digital preservation of data, anonymisation, and data documentation. If data are in a format not included in the preferred formats, contact Relu-DSS for advice.

A Licence Agreement is completed, signed and sent.
